RecordPoint Platform Configuration

Overview

A RecordPoint configuration focuses on ensuring the customer outcomes and success criteria are met by configuring in-scope modules and connectors to deliver advanced data management capabilities.

RecordPoint supports the Customer in configuring RecordPoint in a production environment that manages in-place electronic content for the in-scope connectors, ensuring the Customer understands the value RecordPoint provides for data governance and improving records compliance and discoverability.

Configuration and Testing

RecordPoint configuration and testing is focused on configuring RecordPoint to meet Customer needs, performing Classification Intelligence experiments, providing technical administrator training, and for the Customer to test the configuration. At the end of this stage, the Customer will understand how RecordPoint meets their objectives, delivers on their outcomes, and will be ready to deploy to production.

During configuration and testing, the Customer and RecordPoint will:

  • Implement RecordPoint base configuration.
  • RecordPoint will run a RecordPoint 101 session for the Customer.
  • RecordPoint will deliver functional RecordPoint administrator training for the Customer.
  • Customer and RecordPoint will review datasets for Classification Intelligence experiments (a minimum of 70 documents per classification are required to be provided by the Customer).
  • Customer will review use cases provided by RecordPoint for testing.
  • Prepare and import the retention and disposal schedule provided by the Customer.
  • RecordPoint will define the security profiles in conjunction with the Customer.
  • Customer will register users within the Azure Active Directory / Microsoft Entra ID to allow them access to the RecordPoint test environment.
  • RecordPoint and the Customer will design and import RecordPoint metadata rules with up to one hundred (100) rules per connector (the Customer can design and build any additional rules).
  • RecordPoint will deliver RecordPoint technical administrator training for the Customer.
  • RecordPoint will deliver a Classification Intelligence 101 Session to the Customer.
  • RecordPoint will train the Customer on the use of privacy signals.
  • Customer and RecordPoint will do initial training of Classification Intelligence for up to ten (10) record categories.
  • Customer and RecordPoint will review the results of the initial Classification Intelligence training.
  • Customer and RecordPoint will perform a further round of Classification Intelligence training for up to ten (10) record categories.
  • Content will be resubmitted, ensuring classification based on rules and Classification Intelligence.
  • Customer will test RecordPoint configuration with support from RecordPoint who will remediate any issues.
  • Customer will accept RecordPoint configuration ahead of the production launch.

Production Configuration

Production configuration is focused on configuring RecordPoint in production, classifying all electronic content to be managed in-place and be ready to move to business as usual with RecordPoint.

During production configuration, the Customer and RecordPoint will:

  • Conduct a go / no-go meeting for the production launch.
  • RecordPoint will export approved configurations from the test environment.
  • Customer will register users within the Azure Active Directory / Microsoft Entra ID to allow them access to the RecordPoint production environment.
  • RecordPoint will load configurations into the production tenant.
  • RecordPoint will load metadata rules into the production environment.
  • Customer and RecordPoint will run Classification Intelligence training.
  • Customer will resubmit content to be classified.
  • Customer will validate the solution.

Engagement Coordination

During the engagement, RecordPoint and the Customer will:

  • Attend project status meetings to understand the status, risks, issues, and next steps of the project.
  • RecordPoint will provide a regular project status report ahead of the meeting.
  • RecordPoint and the Customer will hold a project closure meeting, confirming objectives and success criteria have been met to sign off the project and handover to RecordPoint support.
  • Customer will ensure that relevant people attend required training and workshops.
  • Customer will be responsible for all change management activities.
  • Customer will provide training beyond that provided by RecordPoint.
  • Customer will provide remote access to RecordPoint as appropriate.
  • Customer project members have a general understanding of content sources in-scope.
  • RecordPoint will provide all services remotely.

Additionally, for those customers on the following Entitlement Plans – Standard, Standard+, Enterprise, Enterprise+, Premium, and Ultra:

RecordPoint's Physical Records solution configuration focuses on configuring the physical records module to manage the Customer’s physical records in a compliant manner.  

RecordPoint supports the Customer in configuring RecordPoint physical records in a production environment that manages physical records content, ensuring the Customer understands the value RecordPoint provides for physical records governance and improving records compliance and discoverability.

Configuration and Testing

RecordPoint configuration and testing are focused on configuring RecordPoint to meet Customer needs for physical records management, providing technical administrator training, and for the Customer to test the configuration. At the end of this stage, the Customer will understand how RecordPoint meets their objectives, delivers on their outcomes, and will be ready to deploy to production.

During this stage, the Customer and RecordPoint will:

  • Review success criteria.
  • RecordPoint to run a physical records 101 session with the Customer.
  • RecordPoint will deliver functional RecordPoint administrator training for the Customer.
  • Customer will review use cases for testing, provided by RecordPoint.
  • Implement RecordPoint base configuration.
  • RecordPoint to hold a RecordPoint physical records configuration design workshop with the Customer.
  • RecordPoint will configure RecordPoint physical records in test environment limited to:
    o  Up to three (3) physical record profiles
    o  Up to five (5) physical records metadata fields per physical record profile
    o  Up to five (5) physical locations.
  • Customer can extend configuration of physical records profiles, metadata fields and locations if required.
  • Prepare and import the retention schedule provided by the Customer.
  • RecordPoint will define the security profiles in conjunction with the Customer.
  • Customer will register users within the Azure Active Directory / Microsoft Entra ID to allow them access to the RecordPoint test environment.
  • RecordPoint will deliver RecordPoint technical administrator training for the Customer.
  • Customer will test RecordPoint physical records with support from RecordPoint who will remediate any issues.
  • Customer will accept RecordPoint configuration ahead of the production launch.

At the end of this stage, the Customer will understand how RecordPoint meets their objectives, delivers on their outcomes, and be ready to deploy to production.

  • RecordPoint will run a RecordPoint inventory 101 session for the Customer.
  • RecordPoint will deliver functional RecordPoint data inventory administrator training for the Customer.

RecordPoint supports the Customer in configuring RecordPoint data privacy in a production environment that identifies PII, PCI and ROT for electronic content for the in-scope connectors, ensuring the Customer understands the value RecordPoint provides for data privacy and improving records discoverability.

Configuration and testing are focused on configuring RecordPoint to meet Customer needs, ingesting content into the Customer's test environment, providing technical administrator training, and for the Customer to test the configuration. At the end of this stage, the Customer will understand how RecordPoint meets their objectives, delivers on their outcomes, and will be ready to deploy to production.

During configuration and testing, the Customer and RecordPoint will:

  • Review the outcomes and objectives of the project.
  • RecordPoint will run a RecordPoint data privacy 101 session for the Customer.
  • RecordPoint will deliver functional RecordPoint data privacy administrator training for the Customer.
  • Customer will review use cases for testing provided by RecordPoint.
  • Implement RecordPoint base configuration.
  • Prepare and import the File Plan provided by the Customer.
  • RecordPoint will define the security profiles in conjunction with the Customer.
  • Customer will register users within the Azure Active Directory / Microsoft Entra ID to allow them access to the RecordPoint test environment.
  • RecordPoint and the Customer will design and import RecordPoint metadata rules with up to one hundred (100) rules per connector (the Customer can design and build any additional rules required).
  • RecordPoint will enable standard reporting.
  • RecordPoint will deliver RecordPoint technical data privacy administrator training for the Customer.
  • RecordPoint will train the Customer on how to view content with PII, PCI and ROT.
  • Customer will ingest content into RecordPoint for in-scope connectors.
  • Customer will test RecordPoint configuration with support from RecordPoint who will remediate any issues.
  • Customer will accept RecordPoint configuration ahead of the production launch.

Production Configuration

Production configuration is focused on configuring RecordPoint data privacy in production, classify all electronic content to identify PII, PCI and ROT and be ready to move to business as usual with RecordPoint.

During production configuration, the Customer and RecordPoint will:

  • Conduct a go / no go meeting for the production launch.
