FileConnect Enterprise

The Records365 FileConnect Enterprise connector is currently in PREVIEW.

Configure FileConnect Enterprise

Role Required
To Edit Connector Details you need to be assigned to the Application Administrator role in Records365.
Records Managers have read-only access to the Connector Details page.

FileConnect Enterprise offers the following configuration options:

  1. File Share Locations – Allows you to configure what parts of your network file shares are managed by Records365.
  2. Ingestion Criteria – Allows you to define granular rules that control what files are ingested into Records365.

Configuring File Share Locations

  1. Sign into Records365
  2. Click on the Cog in the top right hand corner
  3. Click on the “FileConnect Enterprise” tile
  4. Enter the UNC paths you want to manage with Records365 in the Add Managed File Share Locations section
    1. Important Note: These locations must be accessible from the Windows host that the FileConnect Enterprise agent is installed on using the service account that is running the service.
    2. Tip: It is recommended that you configure FileConnect Enterprise to manage a network file share location with a small number of files initially to verify that your configuration is working.
  5. Click Save
  6. Click Enable to start managing the files in configured network file share locations

Configuring Ingestion Criteria

  1. Sign into Records365
  2. Click on the Cog in the top right hand corner
  3. Click on the “FileConnect Enterprise” tile
  4. Select whether Include or Exclude to determine whether the criteria is going to be used to include or exclude files discovered by FileConnect Enterprise
  5. Click + Add Condition
    1. Select a metadata property that you want to use to include / exclude files (i.e. FileExtension)
    2. Select a comparison operator (i.e. Does not equal)
    3. Enter a value to compare against (i.e. txt)
  6. Repeat step 5 until you have constructed the desired set of criteria

Ingestion Criteria Considerations

  • Ingestion criteria are applied across all of the managed file share locations
  • When no ingestion criteria are defined, Records365 will ingest all files found in the managed file share locations
  • Exclusion criteria take precedence over the inclusion criteria
  • The logical AND operator has a higher order of precedence than the logical OR operator no matter the order they are displayed in
